Minutes of the Annual Meeting of the Parish Council held on Tuesday 4^th May 2010 at the Recreation Ground Pavilion

Present:

Councillors: M. Easterfield, J. Green, I. Harvey, C. Jones, J. Parr, G. Peel, P. Snellgrove Hawkins, L.Woolfenden N. Clarke and R. Turner

Parish Clerk: M. Starkie

Five members of the public were present and two were involved in the discussion on representation on charitable bodies.

1. Apologies for absence A. Cram arrived at 7.20pm

2. Election of Chairman
   Clr. Charles Jones was elected chairman; proposed by Clr. Snellgrove Hawkins, seconded by Clr. Green and carried unanimously

3. Election of Vice Chairman
   Clr. Peter Snellgrove Hawkins was elected vice-chairman; proposed by Clr. Jones, seconded by Clr. Green and carried unanimously

4. Review of Insurance
   The Parish Clerk explained that there were some items on the current schedule for which cover was not required, e.g. computer, as Clerk uses her own and it is insured by her. This will be adjusted for the new insurance which becomes due 1^st June. The insurance needs to be reviewed when that of the Fen Ditton Recreation Ground Trust becomes due next April to prevent duplication of cover.

5. Adoption of new Standing Orders and confirmation of current Financial Regulations
   The new Standing Orders are in line with CPALC model and have been reviewed. Adoption proposed by Clr. Peel, seconded by Clr. Easterfield and carried unanimously. The Financial Regulations were drawn up in 2005. Their confirmation was proposed by Clr. Jones, seconded by Clr. Snellgrove Hawkins and carried unanimously.

6. Allocation of Councillor responsibilities for Committees
   The councillors agreed to work on the committees as set out in Appendix 1

7. Trust Appointments The following councillors and previous councillors were confirmed as council representatives on the Trusts and Charities

1. The Recreation Ground Trust – C. Jones and J.Green

2. Elizabeth March Charity – C. Jones

3. Quy Fen Trust – Mrs Eve Daniel

4. Willy’s Almshouses – Clr. Woolfenden

5. Townland’s Charity – Mrs Eve Daniel & Clr. Parr

There being no further business to discuss the meeting closed at 7:25pm
